Who is responsible

Zeka Visuals, based in London, is the data controller for the information described here. For anything on this page, including a request to see or delete your data, email info@zekavisuals.com.

What we collect, and why

When you send an enquiry we collect your name, email address and phone number, plus whatever you tell us about the event: the type, the date, the location, the hours you want, your budget range, how you heard about us, and your message. Your Instagram handle is optional.

We ask for this so we can answer your enquiry and quote for the work. Our lawful basis is your consent, which you give by ticking the box on the form, and we record when you gave it. You can withdraw it at any time by emailing us.

When you make a booking we also collect the venue address and any details you give us about the day, so we can actually turn up and film it. Our lawful basis there is performance of a contract.

Card details

We never see or store your card details. Payments are taken on our payment provider's own hosted checkout page, and your card number is entered there rather than on this website. Nothing about your card reaches our servers or our database.

Who else processes it

We use a small number of services to run the site. Each only receives what it needs, and none of them are permitted to use your information for their own purposes.

Database and booking storage

Stores enquiries and bookings. Hosted within the UK/EU.

Payment processing

Takes card payments. Card details are entered on the payment provider's own hosted page and never reach this website or its database.

Email delivery

Sends confirmation and booking emails. Receives the name and email address needed to send the message.

Website hosting

Hosts the website. Processes server logs, which include IP addresses.

We do not sell your information, and we do not share it with anyone for marketing.

Cookies

This site sets no analytics cookies and no advertising cookies. The only cookies used are the ones needed to keep a booking in progress as you move through the steps. That is why you are not being asked to accept anything.

How long we keep it

Booking records are kept for as long as we need them for accounting and tax purposes.

Outstanding: the retention period for enquiries that do not become bookings has not been decided. UK GDPR requires a stated period and it has to be named here. Until it is agreed, nothing is deleted automatically, which means enquiries are currently kept longer than a stated policy would allow.

Your rights

You have the right to ask what we hold about you, to have it corrected, to have it deleted, to restrict how we use it, and to receive a copy. To exercise any of these, email us and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
